Why WardOps

Three jobs your team does all day. One shipment file.

Most ops teams juggle a TMS, a shared inbox, carrier websites and a folder of PDFs. Other tools keep the record. WardOps also does the follow-up: it reads what comes in, puts it on the right file, answers routine questions and tells you what to do next.

Documents: every PDF read and filed

Bills of lading, arrival notices and booking confirmations are read, matched to the right shipment and checked against what is already on file. A value never silently overwrites one your team entered.

  • Missing documents by HS code and deadline become tasks
  • Arrival notice, release, delivery order and POD on your letterhead

Email: every message on the right shipment

Emails are linked to shipments by B/L, booking and container numbers. Status questions are answered automatically from the file, so nobody digs through carrier sites to reply.

  • Replies in English or Turkish, sent automatically
  • Questions it cannot answer come back as tasks after 8 hours

Tracking: every change, with its source

Milestones and ETA changes land on one timeline, each with where it came from. A weaker source such as a document never overwrites a carrier update.

  • Slipping ETAs and missed departures flagged early
  • Last free day, demurrage and detention estimates

How it works

Start the day with what needs attention, not with the inbox.

WardOps checks every open shipment against rules your team can tune: ETA shifts, missed departures, last free day, detention, missing documents, unanswered email and the handoffs that fall between two people.

Alerts are sorted by urgency. Close one, or mark it “not needed”, and it stays quiet unless the situation gets worse.

Features

Built the way forwarders actually work

GmailMicrosoft Outlook

Gmail and Outlook

Connect your ops inbox. Only operational messages are read; the rest stays untouched.

Your documents, your letterhead

Arrival notices, releases, delivery orders, PODs and invoices as PDF, or your own Word template.

US imports covered

ISF 10+2 checklist and deadline, AMS match check, customs and freight release before pickup.

Release and pickup readiness

See which containers can be picked up and what is blocking the rest: customs, freight release or a hold.

Free time and costs

Last free day and empty return tracked per container, with demurrage and detention estimates from your tariffs.

Customer routines

Remember how each customer or agent works: release type, who files the ISF, bond, notify list, delivery notes.

Document checks by HS code

Hazardous goods and required certificates are flagged from your own HS code rules, with who to ask for each.

Daily report

A short morning summary of what moved, what slipped and what is waiting on your team.

You stay in control

Automatic, with guardrails

WardOps answers the routine questions for you, and only with what is on the file. Anything it cannot answer stays with your team.

Answers only from the file

Replies and notices are built from what is recorded on the shipment. Nothing is guessed, and no AI writes your emails.

Brakes built in

No replies to colleagues or auto-responders, no repeat mails to the same customer, and one switch to turn it off. Every send is logged.

Your data stays separate

Each company’s data is isolated, with admin, operations and view-only roles. Mail access tokens are stored encrypted.

AI that decides, never writes

AI picks the email type and where each document value goes, only from what is on the document. Replies are built by rules. Each part can be switched off, and your data never trains AI models.

FAQ

Questions forwarders ask us

Does WardOps replace my TMS?

WardOps is an operations system with its own shipment files, focused on follow-up: documents, email and tracking. You can issue invoices, debit and credit notes from charges on the file, while your accounting system stays the book of record. You can start by importing a spreadsheet of open shipments.

Will WardOps answer my customers on its own?

Yes, for status questions and three moments: an ETA change, vessel arrival and ready for pickup. Replies use only what is recorded on the shipment, in English or Turkish. WardOps does not answer colleagues or auto-responders, does not repeat itself to the same customer, and logs every send. Questions it cannot answer stay with your team, and automatic sending can be switched off.

Which shipments does WardOps support?

Full container load (FCL) ocean freight, import and export. Less-than-container load (LCL) comes next, then air freight.

Which email providers can I connect?

Gmail Microsoft 365 / Outlook

Microsoft 365 / Outlook and Gmail. You connect with your own account and can disconnect at any time. Access tokens are stored encrypted.

Where does tracking data come from?

From carrier and terminal updates through a tracking provider, from delay emails and from your documents. Every ETA keeps its source, and a weaker source never overwrites a stronger one. During early access we set up the data source that fits your lanes.

How does WardOps use AI?

Two narrow ways, each can be switched off for your company. A small model reads each email and document to decide its type, whether the customer is asking something out of routine, and which value is the B/L number or the ETA; it picks only from values found on the document and never writes messages. When text and OCR cannot read a document, AI reads that page. Your data is never used to train AI models.

We already use another system. Can you move us over?

Yes, free of charge. Send us an Excel or CSV export of your open shipments and customers, and your document templates. We load them, set up your templates and check everything with you before you switch.

How much does WardOps cost?

Three plans, priced per team. Setup is free on every plan, and if you are moving from another system, we help you switch at no cost. Tell us about your volume and we will share the plan that fits.
